Before You Depart

The use of University corporate credit cards improves the efficiency of transactions and reduces the administrative burden on staff spending money on behalf of the University, including those who travel on Frontier business. In the case of expenditure on travel and entertainment, University corporate credit cards also reduce the likelihood of personal burden.  The following principles govern the use of University corporate credit cards. No University corporate credit cards may be issued or used except in accordance with this policy.

University corporate credit cards may only be issued with approval of the Chief Operations Officer (COO) or the Executive VP. The issuance of University corporate credit cards is also subject to approval by the issuing bank. These same individuals can withdraw or cancel cards as they see fit.

Cardholders are responsible for the safe custody of cards and the security of card information, and are trusted to spend University funds prudently. All receipts should be retained for University records. If a card is lost or stolen, the cardholder must immediately contact the card issuer (PNC, AMEX, or other card company) and report the loss to the Frontier Controller.

University corporate credit cards may only be used for transactions associated with the academic and administrative activities of the University. The card is for business-related purchases only; personal charges are not to be made to the card under any circumstances. Misuse of a University corporate credit card in breach of this policy may result in the cancellation or withdrawal of the card. The cardholder will be required to reimburse the University for any inappropriate charges.

Once approved for issuance of a University corporate credit card, the cardholder must sign and return the Frontier Nursing University Credit Card Policy Acknowledgement. Once received, the Controller will order the card and have it delivered to the cardholder.

The cardholder should sign the reverse of the card immediately and activate the card using the instructions provided by the credit provider.

Failure to complete expense reports with required receipts within 5 business days of the due date will result in a hold being placed on the card until expense reports are completed and approved and receipts are received.  If a card is placed on hold three times for failure to complete expense reports and/or submit receipts when due, the card will be permanently cancelled.

The employee and the employee’s supervisor are accountable for the management of travel costs.  Staff and Faculty who do not routinely travel as a function of their FNU role, must obtain supervisor approval prior to booking any travel.   Review and approval/denial should depend upon rationale such as the business purpose, who is traveling, and anticipated costs.  All provisions outlined in the FNU Travel and Expense Reporting  policy take precedence over the supervisor’s approval.

  • If traveling to FNU’s Campus, complete Campus Accommodations form
  • If your FNU role does not include routine travel, seek pre-approval from supervisor.
  • Purchase airfare in advance through Concur Travel
  • Reserve ground transportation (e.g. rental car) through Concur Travel
  • Reserve hotel through Concur Travel
  • Check airline baggage/boarding rules
  • Check travel advisories for destination
  • Acquire applicable travel identification (e.g. passport/visa)
  • Check your flight status before departure
  • Share itinerary and other travel details with department/family/friend
  • Identification
    Take only the identification information that you will need (e.g. driver’s license, passport, visa, etc). To determine what identification is required for the travel destination, contact the airline, travel agency or appropriate government agency.
  • Financial Resources
    Bring multiple forms of money, ATM cards, credit cards, and cash. Do not rely on a single means of accessing funds.
  • Emergency Contact List
    Take a list of emergency contacts, including family members, physicians, and university supervisors.
  • Medical Insurance Card
    Carry your insurance card and important medical information about any significant health issues in the event of an emergency.
  • Baggage and Equipment
    Limit baggage and equipment to the basics needed for the trip.
